Understanding your Student Fee Statement

You will be able to see your university Tuition and Residence Fee invoices. Where the invoice has been issued to you, then you will be able to download a PDF copy of the invoice.

Important to know:

• The invoice will not reflect any payments or any credit notes issued to you.

• Your invoice is not a statement. For an up-to-date view of your balance owing, you should review your fee statement.

If you are being sponsored for your university fees, you will not be given the option to download a copy of the invoice on the “external transactions” tab, as the invoice will have already been sent by email to your sponsor.

This relates to payments received by the University towards your fees. These could be card or bank transfer.

If you require a copy of the receipt, you can click on the ‘download’ button to the far right of the transaction for a PDF copy.

This is normally an accounting term. A journal can be a credit (a ‘minus’ amount) onto your account or a debit (a ‘plus’ amount) and can cover many different scenarios.

For example, it may be to clear a very small payment shortfall (credit), or a funding award or expense refund (credit).

Another common reason that you will see a journal is when the Credit Control department have agreed to re-schedule your invoice due dates and/or split your fees into additional instalments.

In such cases, you will see a credit (a ‘minus’ amount) to reverse the original invoice(s) and another journal (a ‘plus’ amount) for each of the new instalments you have been given.

If you have overpaid the university, then we may need to refund this balance to you. If you believe you are due a refund, then there are further instructions on how to apply for this on the bottom of your fee statement page.

This is typically where you have or are due to be paid a sum of money by the university. There are many different reasons for a student to be paid a “Fund”; for example, an expense claim refund, a hardship award, a maintenance grant, a King’s Living Bursary payment or a monthly stipend.

Important to know: If you see an amount other than £0 in the balance column on transaction with a type of “Fund”, then this is a sum due to be paid directly to you. It will not be offset to any Tuition or Residence Fees unless you have given permission to Credit Control to do so.

You should therefore ensure that you have responded to the request from King’s to provide your UK bank account details that the sum is to be paid to, by completing the online task in your student records called “Fund Payments, Expenses and Support Grants” in the “My Bank Details – Payment to students” container.
