To upload a photograph for your student ID card:
Using a desktop or laptop, log into Student Records, with your ‘K number’ and your password.
Go to ‘My online Tasks’ on the left-hand side and will be highlighted in red.
Select the message with the subject ‘2025-26 Photo upload’.
You will then be able to upload your photo.
Please make sure you read the instructions about photo upload carefully, and that you meet all the requirements in relation to format and size.
Photo requirements
An acceptable ID card photo must be a true, current, and unaltered photographic representation of the cardholder, suitable for in-person identity checks.
Your photo must:
Be a true and current likeness of you
Show your full face clearly, with you facing directly towards the camera
Be in focus, well-lit and free from shadows
Show your natural facial features and skin tone
Have a plain and neutral background
Contain no other people or objects
Not be altered, enhanced, edited or filtered in any way
Your photo will not be accepted if it:
Has been digitally altered, enhanced, filtered, or retouched
Has been processed using AI tools or automated image-modification software
Uses beauty filters, face-smoothing, reshaping, or background replacement
Has been modified to change natural facial features, skin tone, texture, or contours
Is stylised, cartoon-like, or not a true photograph
Important to know: if there’s any doubt whether your photos meet these requirements, or if your photo is deemed unsuitable for identity verification, your photo will be rejected, and you’ll be asked to provide an alternative one.
Can I wear glasses in my ID card photo?
You can wear glasses in your ID card photo as long as your eyes are clearly visible, and there’s no glare or reflection on the lenses. The frames must also not obscure your eyes.
Head coverings are permitted in ID card photos if worn for religious reasons. Your face must be fully visible from your chin to your forehead, with both sides of your face visible.
The photo file must:
Be in JPEG or PNG format. An example filename is: Image001.jpg or Pic002.png
Be between 40KB (kilobyte) and 1MB (megabyte) in size
Have dimensions of at least 320 pixels by 400 pixels
If you’ve successfully uploaded your photograph, you will see your photograph on the main photo upload page. However, please be aware that it can take 24 hours for the photograph to be updated on our system, so you might need to check back later if you don’t see your photograph immediately.
Important to know: you’ll need to use a desktop or laptop computer to upload your photo as the photo upload task is not compatible with mobile devices.
