I need to prove my term dates for work
If you are an undergraduate (UG) or postgraduate taught (PGT) student applying for work during your studies, whether to an employer directly or through King's Teachers or King’s Talent Bank, you may be asked to provide proof of your term dates.
The university’s term dates can be found in the academic calendar.
I’m an undergraduate (UG) or postgraduate taught (PGT) student
- Log in to Student Records
- Check your personal details are correct and up-to-date
- Navigate to the ‘My Programme’ heading on your homepage
- Click ‘Confirmation of Study letter’
- In the box titled ‘What is the purpose of this confirmation of study letter?’ in this drop-down select ‘Confirmation of Teaching & Learning'
- You will then have the option to enter a name and address if you need the letter addressed to a particular person or organization
- Click ‘Generate letter’
I’m a postgraduate research (PGR) student
If you are a PGR student, then the usual term dates for taught students don’t apply to you, so term dates won’t be relevant for you.
Your studies continue throughout the year and instead, you can book ‘annual leave’. If you wish to book annual leave, please request this from your supervisor.
If you are applying for a job after your studies but need to prove your current status as a PGR student at King’s, please use the standard Confirmation of Study letter.
To download this, simply:
- Log in to Student Records
- Check your personal details are correct and up-to-date
- Navigate to the bottom-right of your homepage, where you will find the heading ‘Confirmation of Study’
- Click on ‘Confirmation of Study letter’
- Click ‘Generate letter’

I need to prove I studied remotely during 2021-22 academic year
Student Services can produce a Confirmation of Study letter for you with an added statement confirming you have been engaging with your studies remotely during the 2021-22 academic year.
In addition to confirming you have been studying remotely, this letter will contain an overview of your course details, including:
- Your personal details
- Your enrolment status
- Your course name
- Your course start date and expected end date
To request this please submit a document request form.
Important to know: If you are a postgraduate research (PGR) student and need to study remotely because you are doing field research or another form of travel for your study, please visit Off-Campus Study Arrangements and complete the form there. Your supervisor can help you if you are unsure about anything.
What if I am sponsored for my fees?
You should be able to provide this letter to anyone asking for this proof, including your sponsor. If your sponsor has requested more information from you regarding fees, please read our article I am sponsored for my tuition fees; what do I need to know?
If you’re applying for a visa to travel out of the UK while you’re a student and you’re studying on a visa, it’s likely you’ll be asked to supply a letter confirming your student status.
Many of our international students enjoy being able to travel to Europe during university breaks, and for this many of you will need to apply for a Schengen Visa.

I'm planning to travel during my university holidays, weekends or bank holidays
If you’re travelling for personal reasons unconnected to your formal studies, such as a leisure trip, we expect that such trips are only taken during your official holiday breaks or at weekends – which means between Friday evening and Sunday evening. If there is a UK bank holiday then it’s the same as a weekend day.
To check when you have term breaks, please refer to the academic calendar.
Important to know: Reading Weeks are not considered official ‘holidays’ but are part of the term. These weeks are intended for you to spend time studying, even if you don’t have scheduled classes.
If you’re travelling during a break and need a letter to prove the following:
- You’re a student studying at King’s
- Your term dates; demonstrating that your travel dates are within holiday time, therefore confirming that you are allowed to travel
For this, you can download your Confirmation of Teaching & Learning Letter, which you can access from your student record.

I’m planning to travel during term-time
If you’re planning to travel for personal reasons, such as leisure, we don’t recommend or endorse this kind of travel during term-time. You are expected to attend your classes and submit all required work, and be available for study throughout term-time.
If your trip is necessary, we will need to liaise with your department to obtain permission for your travel, if you need a letter stating this – we call this a ‘Travel Letter’.
If you need a letter containing a statement from your department confirming you are allowed to travel during term-time, please log this as a letter request with Student Services. We will then liaise with your department.
Important to know:
- Requests of this type take time to process, so we recommend that you allow at least 2 working weeks for such a request to be completed.
- We recommend you wait to book your appointment with the relevant embassy and wait to book any travel tickets until after you have obtained your letter. Unfortunately, we aren’t able to expedite requests made at the last minute; it is your responsibility to ensure you have allowed enough time to obtain all the documents you need for your visa.
- If your department does not confirm you will be allowed time off during your term-time to travel, we will not be able to issue you with a letter confirming you can travel.
