Shortly before you join us at King’s, we will send you an email inviting you to complete enrolment, which has four main stages, outlined below.
You can also use our enrolment checklist to help you understand the next stage in your enrolment journey and the steps you need to take to be fully enrolled as a student at King’s.
Stage 1: Online enrolment
Step 1: Set up your IT account
Your online enrolment invitation email will contain your K number (also sometimes called your King's username), which begins with the letter K and is followed by 7 or 8 numbers (e.g. K1234567), and your temporary password.
If you've previously studied at King's, you're still using the K number quoted in the email, and your original password still works, then you can skip this step and go straight to completing the online enrolment task.
How to set up your IT account:
Go to the IT self-registration page.
Follow the instructions to set up your security questions and answer (you'll need your K number and temporary password).
Create a new password.
You can now access your email using the Outlook web app. Your email address is your K number plus @kcl.ac.uk (for example k1234567@kcl.ac.uk).
If you need further support accessing your email for the first time, read our article Accessing your IT account at King's.
Step 2: Complete the online enrolment task
Once you've set up your King's IT account, the next step is to complete the online enrolment task, and upload your photograph for your student ID card.
The online enrolment task should take 10-15 minutes to complete, and it involves answering a number of questions about yourself in order for us to create your student record. We will also require you to answer a series of questions set by the UK Government for statistical purposes.
How to complete the online enrolment task:
After you have set up your King's IT account, go to Student Records and log in with your student number and password.
Once you've logged in, you will be taken to a page titled 'My Enrolment' where you can work through each section and answer the required questions.
When you've finished, you will be presented with a confirmation screen and you should also receive a confirmation email to your King's email address. This email will outline if there is anything you need to do next.
If you haven't done so already, you will need to upload your photo for your student ID card.
Other questions frequently asked about the online enrolment task:
The online enrolment task has been placed on hold, what should I do?
The online enrolment task will be placed on hold if you use the 'Contact Us' option to inform us that any of the following information is incorrect:
- Your course details
- Your nationality
- Your date of birth
We will look into your query, and you will not be able to proceed with enrolment until we have resolved this. Once the query has been resolved, you will be notified and you will be able to continue with enrolment.
Important to know:
At busy times of year, especially August and September, it may take several days for us to resolve your query. Thank you for your patience - you will be notified when you can continue with enrolment.
You do not need to take any further action and we ask you to please refrain from submitting further enquiries about enrolment being on hold until we get back to you. Please continue to monitor your email account regularly, as we may ask you to provide further information.
In the online enrolment task, how do I know what my year of study is?
Your year of study in the online enrolment task refers to the number of years you have been studying at King's only. For example, if you are visiting us from a different institution but this is your first year studying at King's, your year of study should be 1 (even if you are in a later year of study at your home institution).
The tuition fee information shown doesn't look correct, what should I do?
The fee information shown in the online enrolment task is indicative only: it is the full cost of your course without any discounts, scholarships or sponsorship details that may apply to you individually.
Your fee arrangements will be resolved before you are invoiced (this takes place in early October for those students who start in September) and your invoice should accurately reflect your personal circumstances, such as sponsorship or any fee discounts.
Please proceed with completing the online enrolment task even if the fee information shown is not entirely accurate. You do not need to let us know if this is the case.
If you find that the fee information in your invoice is still incorrect when you later receive it, please read our article The amount on my tuition fee invoice is incorrect for more information on what to do then.
I'm receiving a tuition fee loan, which option should I select when asked who's paying my fees?
In the Fees & Sponsorship section of the online enrolment task, you'll be asked to tell us who is paying the majority of your tuition fees.
If you're an undergraduate student receiving a tuition fee loan, please select "Sponsor" and then the relevant student loan body (such as the Student Loans Company - England/Wales), as the funds will be sent directly to King's.
If you're a postgraduate taught student receiving a tuition fee loan, please select "Student", as the funds will be sent to you first, to then pay King's yourself.
Will I receive a confirmation email when I've completed the online enrolment task?
If you have completed the online enrolment task, a confirmation email will be sent to your personal email and King's email addresses. You will receive an email from 'noreply-welcome' and the subject of the email will be "King's Online Enrolment task Confirmation [and then your student number]" or similar.
Step 3: Upload your photo to your student record
How to upload a photograph:
Using a desktop or laptop, log into Student Records, with your student number and your password
Go to ‘My Online Tasks’ on the left-hand side, which should be highlighted in red.
Select the message with the subject ‘2024-25 Photo upload’
You will then be able to change your photo.
If you wish to change your photo in the future, you can select the ‘Change my photo’ option which can be found under ‘My Online Tasks'.
- You’ll be able to change your photo up until your card is printed.

Stage 2: Essential training
Ensuring a safe and inclusive environment is a top priority for our university community. Designed to equip you with key information, the essential training courses empower you to play an active role in keeping our community safe and foster an environment where everyone feels respected and supported.
Within Student Records, navigate to the 'My Training' tab where you’ll be asked to follow further instructions to complete your Health and Safety induction and your Consent Matters training.
Stage 3: Right to Study check (for students who do not hold British or Irish nationality)
Step 1: Complete your Right to Study check (for students who do not hold British or Irish nationality)
King's must determine a student’s right to study before they can be fully enrolled. All students who do not hold British or Irish nationality will need to complete the Right to Study Check, in addition to completing online enrolment.
Please read our article What is the Right to Study and why do I need to do it? for further details.
Important to know: students enrolling on online programmes are not required to complete a Right to Study check.
What will happen once I complete the Right to Study check?
Once you have submitted the task, a member of the Visa Compliance team will review your documents. Once approved, you will receive a confirmation email and will be sent more information on how to collect your student ID card.

- At busy times of year, especially August and September, it may take several days for the Visa Compliance team to review your documents. Thank you for your patience - you will receive a confirmation email once the review is complete.
Step 2: Collect your Biometric Residence Permit (BRP) (for students holding a Student visa)
